When should you send the set so your team can prepare?
Practice is tomorrow and the set still isn't done… it's not just me, right?
When the set goes out late Saturday night, your team has almost no time to listen ahead. Nobody knows the key or the form, so everything gets figured out at Sunday-morning rehearsal.

Most volunteers work during the week, so they need an evening or two to listen ahead. That's why it helps to send the set by Wednesday at the latest.
With all five in one place, rehearsal can go to preparing worship together instead of just lining things up.
Five things to include when you send the set
- Send by Wednesday
Or three days before a midweek rehearsal. If not every song is decided, send what's confirmed and mark the rest "confirmed Friday."
- Key & capo
Write both the original key and yours, e.g. Key A (original G) · guitar capo 2. An arrow (G → A) can read like a modulation mid-song.
- Song form
Include how many times the chorus repeats, e.g. I · V1 · C · V2 · C · B · C×2 · O. This is where rehearsals most often fall apart.
- One reference video
Only the version you'll actually play. Add a note like "We're in A · form follows the set."
- Part assignments
Who's on keys, guitar, drums, and vocals — including lead and harmony for singers — all at once.
